We value your privacy. Any personal information collected through our website, booking forms, or communications will be kept strictly confidential. We do not share, sell, or disclose your personal information to any third party, including our suppliers or partners, without your explicit consent. Your data is used solely to facilitate and improve your experience with Utopia Wellness Concierge.

Session & Package Payment Policy

All private sessions and wellness packages are non-refundable.

You may reschedule your session once, provided you give at least 24 hours’ notice. We appreciate your understanding and respect for the time and energy dedicated to your experience. Last-minute cancellations or no-shows will be considered non-refundable.

Retreat Payment & Cancellation Policy

To confirm your spot in one of our retreats, a non-refundable deposit is required at the time of booking. The remaining balance may be paid either in full or in up to three installments. All retreat payments must be completed by the date communicated in your confirmation email. Failure to complete payment on time may result in the loss of your spot without refund.

Cancellation Penalties

If you cancel a confirmed booking, cancellation fees apply based on the amount already paid and the proximity to the retreat start date.

Fee Structure:

                  •               More than or 30 days before the retreat: 10% of the paid amount.

                  •               Between 30 and 15 days before the retreat: 50% of the paid amount.

                  •               Between 15 and 10 days before the retreat: 75% of the paid amount.

                  •               Less than 10 days before the retreat: 100% of the paid amount, no refund.

Please note: all deposits remain non-refundable regardless of cancellation date.

Refunds & Handling Fees

In the case of any authorized refund processed via credit card or online payment method, the refunded amount will be reduced by the respective % handling fee to cover payment processor costs. Refunds are issued only under exceptional circumstances and must be approved in writing.

Billing & Accounting

All prices are listed in EUR (€) unless stated otherwise. Invoices are available upon request. We are not responsible for any additional currency conversion or international transaction fees charged by your bank.

Acceptance of Terms

By making a booking with us, whether directly, through an agent, or via a travel expert, you and your client (the traveler) fully accept the terms outlined in this document.

This agreement is governed by the applicable laws of the jurisdiction in which the service provider operates. Any legal disputes arising from this agreement shall be resolved in accordance with the competent courts of that jurisdiction, regardless of where the payment was processed or the merchant provider was based at the time of transaction.
